All ticket sales are final and non-refundable.

If you are unable to attend due to exceptional circumstances, you may submit a written refund request. Requests will be reviewed on a case-by-case basis at the organiser’s discretion. Supporting documentation may be required.

Where a refund is approved, it will be issued minus the applicable administration fee. The administration fee covers payment processing and event management costs and is non-refundable.

Refund requests must be submitted no later than 30 days before the event date. No refunds will be considered after this deadline.

If the event is cancelled by the organiser, a full refund (excluding any non-recoverable third-party booking fees, if applicable) will be issued automatically.

If the event is postponed, tickets will remain valid for the new date. If you are unable to attend the rescheduled date, you may request a refund within 10 days of the announcement. Approved refunds will be issued minus the administration fee.

Yes, but they must be on a. lead at all times. Dogs are not permitted in the motorsport zone.

Yes, it is - simply add it when you book your tickets. All campers choosing an electric hookup will be required to park in a special camping area called Blackmore Park within the showground.

Fire risk

Due to the extreme drought conditions currently being experienced in the Midlands, the ground around the show ground presents an extreme fire risk. Therefore, regrettably, there has been a restriction placed on naked flames. Therefore, no BBQs will be permitted during the event. Gas stoves may be used, but must be elevated off the ground on a suitable table or platform.

Yes, under-16s get free entry to the event, but must be accompanied by a parent or guardian. If you are attending with under-16s, just tell us how many under ‘add-ons’ when you book - and we will add them to your ticket.

Car Club Fest is run as a non-profit event. Any surplus is distributed amongst the participating clubs to help offset their costs of attending and a donation is made towards our official charity partners, Macmillan.

Yes, please contact us and we will find you a role. Those who volunteer for a minimum of 4 hours a day will be offered a £10 voucher that can be spent on food and drink at the on-site concessions. Yes, there are - not only do we have all the facilities on site that are built into the Three Counties Showground, but extra toilets centrally located will also be provided.

Yes, there will be an ability scooter hire at a cost. You can book this directly with our provider. Details are on the home page. The site is access-friendly throughout.

Weekend camping ticket holders can camp on Sunday night but must vacate the showground by 9am on Monday morning.

Emergency Information

Emergency First Aid/Fire staff will be on-site 24 hours a day throughout the weekend. They will be located next to the Friesian Pavilion (6 on the site plan) and can be contacted by telephone by calling Rayne Sutcliffe 07974-711204. These details are also displayed on the safety notices around the site.

In a Medical emergency, contact the first aid/fire staff. In the unlikely event of no response, call 999.

In the case of fire, telephone 999 immediately.

The emergency services should be directed to enter through the main entrance: Yellow Gate.

Please proceed to Yellow Gate, where security will be permanently staffed throughout the weekend. Inform gate staff as soon as possible.

Security

The halls will be locked outside of trade show hours. No entry from members of the public will be permitted until the official opening of the trade show on Saturday morning. Security guards will be on duty inside the trade hall and showground throughout the weekend.

Safeguarding

Chris Thirtle Tel: 07701 074856 will act as our Safeguarding Official during the weekend. A lost child/vulnerable adult meeting point will be co-located with the first aid point located by the Friesian Pavilion. Parents, guardians, or carers of any children and vulnerable adults are responsible for supervising those children and vulnerable adults in their care and must do so at all times while attending the event.

Wi-Fi

There is free Wi-Fi service throughout the showground, although users may experience fluctuations in signal strength from area to area.
